The exact documents depend on your service and business requirements. This guide is a starting checklist, not a universal list of required records.
Ask for a list before work starts
Ask which documents are available and which are not. Depending on the service, your team may need the agreed service details, approved artwork, order instructions and available research-material reports.
For each file, record who supplied it, what it covers and whom to contact with questions. Do not treat artwork approval as evidence about the material. Those records answer different questions.
Keep originals separate from your notes
Store source documents unchanged. Put your team's summaries and questions in a separate file. This makes it easier to see which statements came from the issuer and which came from your team.
Ask who may view, share or publish each document. Receiving a file or gaining portal access does not automatically give you permission to put it on your website. Check confidentiality and sharing rights first.
Make a simple file index
An index is a list that points people to the right files. Include the document name, location, current version and contact. Mark missing records and unanswered questions clearly.
- Which file is current?
- Where is the original stored?
- What does it explain, and what does it not explain?
- Who can access or share it?
- Who is responsible for a correction or update?
Keep older versions identifiable but separate from current instructions. If a changed record affects a public page, name the person who will review that page too.
Test the handover
Ask someone who did not organize the folder to find the current artwork, service agreement and open-question list. Check access using the account they will actually use. A link working for the folder owner does not mean it works for everyone.

Having documents does not justify claims beyond what they support. The FTC says factual advertising claims need evidence before publication. Read its substantiation policy.
